What Bill Pay Entails

When owners request that Aloe pay their preferred vendors (ones we don’t already use regularly), there’s a lot of behind-the-scenes work involved. Each payment method comes with its own process and costs:

1. W-9 Collection & Setup

Before any payment, we must collect a W-9 from the vendor for IRS compliance.
This ensures year-end reporting is accurate and that we can issue a 1099 to the vendor.

2. Payment Processing

Checks: Writing, signing, stuffing, postage, and mailing. Each check requires staff time and direct costs (paper, envelopes, stamps).
Credit Card: If a vendor accepts cards, Aloe must front the payment immediately. This means Aloe is carrying the balance until we are reimbursed, essentially extending short-term credit so vendors are paid quickly and stay satisfied.
ACH / Bank Transfer (preferred): Faster and cleaner, but requires a setup process, fund verification, and still involves staff oversight.

3. Accounting & Auditing

Each payment must be recorded and reconciled.
We audit bills to prevent duplicates, ensure vendors are truly paid, and maintain accurate statements.
At year end, we generate and mail 1099s to each vendor.

Why There’s a Charge

Although paying bills sounds simple, it requires:

Labor: Staff time to collect W-9s, set up vendors, process payments, reconcile accounts, and perform audits.
Direct Costs: Postage, check stock, envelopes, transaction fees, and credit card float.
Risk: Aloe takes on responsibility for accurate tax reporting, avoiding duplicate payments, and ensuring vendors are paid on time to protect owner relationships.

Bill Pay is more than just “cutting a check.” It’s a full compliance, payment, and auditing process. By charging for this service, Aloe covers the cost of staff time, payment processing, and compliance obligations. This ensures:

Vendors are paid promptly.
Owners stay IRS compliant (W-9s & 1099s).
Accounting remains accurate and transparent.
Aloe absorbs the risk and workload so owners don’t have to.
